SECTION II: PURPOSE OF THE ROLE  
Purpose of Role To manage and oversee all travel-related operations across the organization, ensuring cost-effective, seamless, and compliant travel arrangements for employees across sites, projects, and offices.The role focuses on optimizing travel costs, managing vendors, ensuring adherence to company travel policies, and supporting uninterrupted project execution through efficient mobility and accommodation management.
         
SECTION III:  JOB REQUIREMENTS   
Total Experience in Yrs. (Minimum) 8-12 years of experience in managing corporate travel desk operations in a mid to large-sized organization.
Qualification Graduate in any discipline. MBA/PG Diploma in Travel & Tourism or Business Administration is preferred.
Specific Certification / Additional Certifications (if Any) Certification in Travel & Tourism Management / Administration / SAP (Concur – preferred)
Technical/ Functional Skills Requirement Hands-on experience in managing end-to-end travel desk operations (Air/Rail/Road),Strong knowledge of corporate travel policies and cost optimization,Vendor management for airlines, travel agents, hotels, transporters, and LMVs,Budgeting, billing verification, and cost control for travel & accommodation,Proficiency in MS Excel, MIS reporting, SAP / Concur or similar travel systems,Experience in managing guest houses, hotel bookings, and site accommodation,Ability to handle emergency travel, last-minute changes, and escalations,Familiarity with project-site mobility requirements and remote location logistics.

Strategic Develop and implement the organization-wide travel policy, ensuring alignment with corporate guidelines and cost optimization, Identify and onboard reliable travel service providers through contracts/agreements ensuring quality and service-level compliance, Drive automation and digitalization of the travel desk process using technology platforms. 20%
Financial Management Monitor travel expenses and ensure adherence to budgetary constraints, Review travel-related bills, ensure vendor payments are processed in line with terms, and verify expense claims for compliance, Identify cost-saving opportunities through effective negotiation and vendor performance reviews, Provide periodic MIS reports on travel expenditures, cost-saving measures, and utilization. 25%
Operational Oversee day-to-day travel bookings including air, rail, hotel, and local transport for employees across locations, Analyze travel trends and provide strategic inputs to leadership for decision-making and budget forecasting, Ensure timely and hassle-free arrangements especially for critical or urgent business travel, Resolve travel-related escalations or exceptions in a timely and employee-centric manner. 40%
People Management Manage the internal Travel Desk team and supervise vendor/agency operations for performance and compliance. 15%
